Communications Forms & Resources

Event & Promotion Request Form

This form is for the following:

  • Request marketing/communications for an event/meeting through VCC’s communications platforms

  • Request space on campus for an event to be added to the church-wide calendar

Please allow at least 4-6 weeks prior to your event promotional start date.


Calendar Request Form

If you are not ready to submit details for your event & promotion request, but need to request a reservation for space, please submit this calendar reservation form. Make plans to come back to submit the promotion request form when you have all of your details ready!

If you have any changes to the form after it is submitted and added to the calendar, please email kellym@vc.church to confirm the changes will work and that your event is promoted correctly.


SmugMug Photo Collection

Our VCC SmugMug account is the central place to upload and download event photos for use on our website, social media, print materials, and videos. If you’ve captured moments from a recent event, uploading them helps us tell the story of what God is doing at VCC. You can also browse and download high-quality images to support your own event promotion. Please make sure all photos are appropriate for public use. Contact the Communications Coordinator for login information.


Website Update Request

If your ministry needs a website update that isn’t tied to a specific event or promotion—such as updating team info, changing meeting times, or adding new resources—please fill out the form below. Our team will review your request and make the necessary updates to your ministry page as soon as possible to ensure the information stays current and helpful for our church community.


Branding & Graphics

If you'd like to create your own graphics, you're welcome to do so! Just be sure to follow the VCC branding guidelines to help keep things consistent across all our platforms. To ensure your design works for promotion, we’ll need graphics in the following sizes:

Graphic Sizes Needed:

  • Social Media: 1080 x 1350 (Portrait) & 1080 x 1920 (Stories)

  • The Weekly: 1920 x 1080

  • Website: 1920 x 1080 and 1080 x 1350

  • Announcement Slide: 1920 x 1200

  • TV Lobby Slide: 1920 x 1080 and 1080 x 1920

Helpful Tips:

  • Keep details simple and clear—just the essentials like event name, date/time, and a way to sign up or contact.
    Additional info will be shared through verbal and written communication.

  • Use clean, readable fonts (Helvetica Now Var for headlines and PP Telegraf for subheads and body copy) and make sure there’s enough contrast between text and background.

  • Double-check all details—especially dates and contact info.

Once your graphics are ready, please attach them to your Event & Promotion Request Form. We’re excited to help share your ministry event with clarity and excellence!
